Work Schedule: Monday–Friday, 8:00 AM – 5:00 PM

About the Role

We are looking for a highly organized, proactive Administration Manager to oversee and coordinate all administrative operations at our client’s growing headquarters. You will be the backbone of office efficiency, ensuring smooth workflows, regulatory compliance, and a productive work environment. Key Responsibilities

Administrative Leadership & Workflow

  • Manage daily administrative functions: office management, facilities, and support services.
  • Develop, document, and implement administrative policies, procedures, and best practices to streamline workflows and improve efficiency.
  • Organize and maintain physical and electronic files; monitor deadlines using “bring forward” systems.
  • Supervise, lead, and mentor administrative staff – including hiring, training, coaching, and performance evaluation.
  • Coordinate and prioritize administrative tasks and projects to ensure timely completion.

Office & Resource Management

  • Oversee office facilities – space planning, equipment maintenance, and supply inventory.
  • Ensure compliance with company policies and regulatory requirements across all administrative activities.
  • Maintain strong relationships with external vendors, service providers, and key stakeholders.
  • Implement and maintain administrative systems and technologies to support efficient operations and information management.

Financial & Operational Oversight

  • Manage budgets, expenses, and financial records related to administrative operations – ensuring cost-effectiveness and accountability.
  • Collaborate with other departments (sales, logistics, finance, HR) to support cross-functional initiatives.
  • Provide direct administrative support to senior management: scheduling meetings, preparing reports, managing correspondence.
  • Coordinate travel arrangements, accommodations, and logistics for staff and executives.

Confidentiality & Culture

  • Handle confidential and sensitive information with discretion and integrity.
  • Foster a positive, professional, and collaborative work environment within the administrative team – promoting teamwork, communication, and professional development.
  • Assist with HR activities (e.g., onboarding, recordkeeping) as needed.
  • Stay updated on industry trends, best practices, and emerging technologies in administrative management.

What You Bring

Education

  • Bachelor’s degree in Business Administration, Law, or a related field.
    A Bachelor’s in Law is strongly preferred.

Experience

  • Minimum 5 years of proven experience in administrative management, with a track record of delivering high-quality support in a fast-paced environment.

    Bilingual (English & French) preferred.
